Copy, paste, transfer files
In computer terminology, moving data around relies on three primary actions: Copy, Paste, and Cut (Transfer). Mastering these actions ensures you can move student records, video clips, or course notes safely without losing your work.
Here is the exact difference between them and the steps to perform each action.
1. The Core Operations
Copying (Duplicate): Leaves the original file exactly where it is and makes an exact duplicate copy to place somewhere else. (Use this when you want a backup).
Cutting (Move / Transfer): Removes the file from its current location and prepares it to be shifted completely to a new spot. No duplicate is left behind.
Pasting (Drop): The final action required after both Copying and Cutting. Pasting is what actually places the file into the new folder you have opened.
2. Method 1: Using the Mouse (Right-Click)
To Copy and Paste a file:
Navigate to the file you want to duplicate.
Right-click on the file and select Copy (in Windows 11, look for the icon that looks like two overlapping papers).
Open the new folder or drive where you want the file to go.
Right-click in an empty space inside that folder and select Paste (clipboard icon).
To Transfer (Move) a file:
Right-click on the original file and select Cut (scissors icon). The file icon will look slightly faded or translucent.
Open the destination folder or drive.
Right-click in an empty space and select Paste. The file will disappear from the old location and appear in the new one.
3. Method 2: Using Keyboard Shortcuts (The Fastest Way)
Using shortcuts makes data management and office work incredibly fast. Select your file first, then use these combinations:

4. Transferring Files to an External Drive (Pen Drive / Hard Disk)
When transferring data from your computer's internal storage to an external storage device, follow these steps:
Insert your Pen Drive or External Hard Disk into a USB port on the computer tower or laptop.
Open File Explorer (
Windows Key + E) and click on This PC in the left sidebar. Look for your drive under "Devices and drives" (it might be named USB Drive (G:) or Local Disk (E:)).Find the files on your computer you want to transfer.
Select them $\rightarrow$ press Ctrl + C (Copy) or Ctrl + X (Cut).
Double-click to open your Pen Drive window.
Press Ctrl + V (Paste). Wait for the loading bar to finish transferring the data.
⚠️ Critical Safety Rule for Pen Drives: Never pull a Pen Drive directly out of the computer while it's transferring files, or you risk corrupting the data. Once the transfer is done, go to the bottom right of your Windows Taskbar, click the tiny arrow up, right-click the USB icon, and select Safely Remove Hardware / Eject. Wait until the screen says "Safe to Remove Hardware" before unplugging it.
